What problem does this workflow solve?

Workplace issues reported informally are often lost, untracked, or left without a clear resolution. This template creates an accountable feedback loop where every issue is evaluated for validity, followed up by the People Growth team, and confirmed as resolved by the submitter — with automated reminders to prevent tasks from stalling.

What this workflow does

  1. Issue Submitted — The employee submits an issue by selecting a category (Office Facility, Training, Certification, Counseling, Optimization, or Other), describing the current condition, the expected outcome, and the desired resolution due date.
  2. Evaluate Issue — The People Growth team reviews the submission and determines whether the issue is Valid or Invalid, along with an evaluation note. A periodic reminder is sent if the evaluation is not completed on time.
  3. Issue Marked as Invalid — If the issue is deemed invalid, the process ends and the submitter is notified via Telegram.
  4. Follow Up Issue — If valid, the People Growth team documents the issue resolution. A periodic reminder is also sent if the follow-up is not completed on time.
  5. Validate Issue — The submitter (Team) reviews the follow-up and confirms whether the issue has been resolved or not, along with a validation note.
  6. Resolution Loop (if needed) — If the issue is not yet resolved, the process loops back to the People Growth team for re-evaluation.
  7. Outcome — Once confirmed as resolved, the process ends with an Issue Marked as Resolved status. If the validation task times out (2 days elapsed), it is automatically marked as resolved.

How to customize this workflow

  • Issue categories: Update the category options to reflect the types of issues relevant to your organization.
  • Reviewer: Change the People Growth assignee or candidate group to route issues to the appropriate HR team or individual.
  • Reminder intervals: Adjust the timer boundary events to change how frequently reminders are sent during the evaluation and follow-up stages.
  • Notifications: Configure Telegram or other notification channels to keep the submitter and team informed at each stage.
  • Auto-resolve timeout: Modify the 2-day boundary timer on the Validate Issue task to match your organization's SLA expectations.
